Privacy and AI disclosure
Draft — legal review required
This page describes our current intent. It is not final approved legal wording, and should not be relied on as a contract or as legal advice.
How the receptionist behaves
Your receptionist does not impersonate a person. If a caller asks whether they are speaking to an AI, an automated system, a human or a real person, it answers truthfully.
It does not announce that it is an AI at the start of every call unless you configure it to. If a legal or regulatory requirement applies to your business, this behaviour will be reviewed and updated before it applies to you.
What we store
We store the business details, knowledge documents and contact information you give us, together with records of conversations — the time, the duration, the outcome, and, where a transcript or summary is produced, that text.
The public demo is different: it reads only what your website already shows the public, keeps nothing beyond your session, and does not create an account for you.
Access to your organisation's data is restricted by your account and your organisation's membership. Volapos Ltd staff may access data where it is required to operate or support the service.
Deletion and retention
Retention periods are being finalised alongside this policy. Where the product offers a delete action today, it removes the associated records from our database. We do not make retention promises here that the product does not yet enforce.
Before you go live
Nothing your receptionist does reaches a real caller until you publish it. If you have questions about how data is handled, raise them with us before you put a receptionist in front of live callers, not after.
