What to tell your AI receptionist before it answers your phone

Before an AI receptionist answers your calls, give it the facts callers actually ask for (hours, location, services, booking and delivery rules), decide which questions it must always pass to a person, and say who receives messages. Then test it with ten calls. A receptionist that uses only approved facts and says when it does not know protects your customers and your business.

Questions to ask before choosing an AI receptionist in the UK

Before you choose an AI receptionist in the UK, ask what it does when it does not know an answer, every charge including what happens when minutes run out, what it records, whether you keep your number, how you test it and how you leave. A good provider answers all of these in writing, including what its product cannot do.

Booking requests, cancellations and no-shows: a UK guide

Calls to cancel that ring out and booking requests missed in busy hours are phone problems you can fix, and no-shows reach well beyond restaurants: 25% of people in one UK survey admitted skipping a hairdresser or barber appointment in a year. Start with free fixes such as easy cancelling, clear windows and reminders you send yourself. An AI receptionist can take the request and pass it on, but your team confirms.

What do missed calls cost a UK restaurant or takeaway? A worked example

A missed call costs a UK restaurant or takeaway what that caller would have spent, multiplied by how many missed callers order somewhere else. In our worked example (illustrative inputs, not a UK average) that is £220 a week, or £11,440 a year, in sales. This guide gives you the formula, the example and a 20-minute way to find your own numbers.

UK call forwarding codes: EE, O2, Vodafone, Three, BT, Sky and Virgin

On most UK mobiles you forward calls by dialling a code such as **61* followed by the number and #, which sends calls you do not answer to another number; ##002# cancels every divert. BT and Sky landlines use single-star codes such as *61*, and Virgin Media uses *21* (or *70 in Red areas). You usually pay for the forwarded part of each call, so check your tariff first.

Allergy questions on phone orders: what UK takeaways must do

If you take orders by phone, allergen information for the 14 regulated allergens must be available before the order is completed and again when the food is delivered. FSA best practice is to ask every caller about allergies, record the answer, pass it to the kitchen in writing and label the food. Whoever answers, a person or an AI receptionist, should never guess.

Is an AI receptionist legal in the UK? A plain GDPR guide

In general, yes. We found nothing in ICO guidance that bans an AI receptionist, but you must follow UK data protection law for the caller details it handles, and any rules for your sector. In practice that means telling callers how their data is used, choosing and recording a lawful basis, having a written contract with your provider, and answering access requests within one month. This is general information based on ICO guidance, not legal advice.

How do UK salons stop missing calls while with a client?

Start with the free fixes: a voicemail greeting that gives a next step and a website that answers the questions callers ask most. Then cover the calls you cannot take with a person or an AI receptionist that answers from approved information and takes booking requests your team confirms. In a June 2026 YouGov poll, 37% of UK adults said they would give up within 60 seconds and contact a competitor.

Do customers leave voicemails in the UK? What callers really do

Rarely: in a June 2026 YouGov survey, only 6% of UK adults said they would leave a voicemail, and 37% would abandon the call within 60 seconds and contact a competitor. A better greeting and a same-day call-back habit are free fixes to try first. If the phone still rings out, an answering service or AI receptionist are the next options.

AI phone answering vs a traditional answering service in the UK

An answering service and an AI receptionist can both stop a call reaching voicemail. The difference is what happens next. A traditional service is normally best when a caller needs a person to take a nuanced message. An AI receptionist can be useful when the same practical questions arrive repeatedly and the business has approved information it is happy to share. A practical comparison for UK business owners deciding whether an AI receptionist or a traditional answering service fits their calls.
